Payment of Fees & Charges
How and when fees are paid, and what happens in cases of absence, cancellation, or closure.
Our commitment
Updated 1 April 2025. At Bees Circle Academy we commit to never take any action against a child — including, but not limited to, exclusion or discriminatory treatment — due to their parents' genuine inability to pay fees.
We will, however, pursue parents for full payment of fees where genuine financial hardship is not demonstrated, and we aim to collect due fees as efficiently as possible.
Purpose
To outline and ensure parents understand the terms and conditions, when their child attends Bees Circle Academy, regarding the invoices they receive and the payments they are required to make.
Our values
Bees Circle Academy is committed to:
- providing responsible financial management of school services — setting fees that keep our services financially viable while remaining as low as possible;
- providing a fair and manageable system for dealing with non-payment and/or inability to pay; and
- maintaining confidentiality in relation to the financial circumstances of parents.
Payment procedure
- Invoices detailing fees and charges are emailed to parents (and may also be sent on WhatsApp) on or before the last day of each term.
- Fees are payable in full before the beginning of each term so as not to disrupt your child's learning.
- A 10% late-payment penalty is charged on balances outstanding after the start of each term.
- Effective 1 April 2025, instalments are no longer accepted. Only learners with no outstanding fee balance on the first day of the new term will be permitted to enter class, and a fee-status help desk is stationed at the school entrances to verify status.
- Fees once paid are not refundable or deferrable to future terms, and are not pro-rated if a child enrols after the start of a term.
- Payments can only be made by M-Pesa. By prior agreement, payment may be made by banker's cheque or EFT/RTGS bank transfer. The school does not accept cash, or personal or company cheques.
- After paying, parents present payment details so accounts can be updated promptly, and should keep a receipted copy for their records.
- The school reserves the right to review fees and any guiding policy, with at least one term's written prior notice of any material change.
Cancelling a reserved place
If you wish to cancel your child's place, please give the school a minimum of one full term's written notice in advance. Parents are not refunded if a school term has already commenced at the time of communicating the cancellation.
Absence and illness
- Fees are not refunded for any days missed due to holidays or absence during term time.
- No remissions are made in cases of illness, quarantine, leave during the term, or any cause whatsoever.
- Parents who withdraw their child for any other reason during the term are liable for a full term's fee.
School closures
If the school must close due to events beyond its control, fees will not be refunded unless the closure lasts more than five consecutive working days.
