Terms & Conditions of Enrolment

Definitions

• “The Head” means the person responsible or delegated for the day-to-day running of the school.
• “We” or the “school” means Bees Circle Academy Limited.
• “You” or the “parent” means each person who has signed the acceptance/entry form as a parent or guardian, or assumed parental responsibility for the child.

Entry to the school

• Registration. A non-refundable registration fee is required to apply for entry to the school.
• Acceptance of the place. An offer of a place is accepted by signing the Acceptance Form and paying the registration fee, which is not refundable if your child does not take up the place.
• Decision not to take up the place. If you later decide not to take up a place, the school must be informed in writing by the first day of the school term your child is due to start. Failure to provide this notice will result in you owing the school one full term's fees. The registration fee remains non-refundable.

Fees and extras

• Items covered. Fees cover the school's standard curriculum, including books and stationery and any other designated educational activities. Lost or damaged articles or school property may be charged as extras.
• By whom payable. Fees are the joint and several liability of each person who signed the acceptance/entry form, or any other person who, with the consent of the school, has accepted responsibility for payment.
• When payable. Each invoice must be paid in full on or before the first day of each school term. A detailed Payment of Fees and Charges Policy is available from the school.
• Recovery of fees. We reserve the right to refuse admission to a child who has outstanding fees. Signatories are liable for all reasonable debt-collection and legal costs incurred in recovering unpaid debts.
• Fee refund. Fees and prepaid extras will not be remitted for any period away from school for any reason.
• Sibling discount. For a second and third child in the same family, there is a reduction of fees per term — ask the administration for the prevailing rate.
• Fee increases. The school reserves the right to increase fees and charges, or any guiding policy, at any time, with at least one calendar month's written prior notice of any material change.

Notice for withdrawal

One full term's prior written notice must be given, or payment in lieu, for the early withdrawal of your child or discontinuance of ongoing learning. For the avoidance of doubt, one full term is the first day of a term to the last day of that term, and not any period overlapping two terms.

Removal or suspension of a child

The Head may, in their absolute discretion and in the best interests of the school, your child, or other children, require removal or may suspend or expel your child where the Head considers:

• attendance, progress, or behaviour is significantly unsatisfactory;
• behaviour off the premises, in or out of term time, brings the school into disrepute;
• the behaviour of a parent is unreasonable and adversely affects, or is likely to affect, the child or other children at the school;
• grounds for expulsion exist — including indecency, bullying, endangering self or others, disruption, swearing, insolence, repeated idleness or lack of cooperation, a serious attack on another, or bringing in items or substances that could endanger anyone at the school.

In these circumstances there is no entitlement to any refund or remission of fees or extras paid or due, and the deposit will be forfeited.

School rules and discipline

It is a condition of remaining at the school that each child attends regularly and punctually; complies with the school rules and customs; and conforms to the school's expectations of appearance, dress, and behaviour.

The school's care and education of your child

• Physical contact. You consent to your child receiving such physical contact as may be lawful, appropriate, and proper for teaching, maintaining good order, or providing for their well-being.
• Urgent medical care. Should your child require urgent medical attention and we are unable to contact you, we are authorised to decide on your behalf as recommended by a doctor.
• Health. It is a condition of joining that you complete, submit, and keep current a full medical history of your child.
• Court orders. The Head must be notified in writing immediately of any court orders relating to your child.
• Absence. Permission for absence must be obtained in writing from the Head, except for illness, in which case the reason must be confirmed in writing.
• Complaints. Any complaint or concern should be raised with the Head, the relevant class teacher, or the administration team — preferably in writing.
• Progress and special needs. We produce regular written reports and will advise you of any concerns. The school does not undertake to diagnose specific learning difficulties; assessment may be required at your expense. The deposit is refunded if the school is unable to adequately provide for your child's special needs.
• Personal property. The school does not accept responsibility for personal property. All items should be clearly named.

General

• Insurance. You must make your own insurance provisions for your child's property and fees.
• Confidentiality & references. You consent to our supplying information and a reference to any intended institution for your child.
• Copyright & media. You agree to allow us to use photographs of your child or samples of work for publicity, while we recognise any intellectual property rights vested in them.
• Change of details. You undertake to notify the school of any change of address or contact details in a timely manner.
• Jurisdiction. The contract is governed by Kenyan law. The school and you agree to settle disputes amicably, and failing that, by arbitration appointed by the parties.

Observation policy

Upon prior arrangement, parents and visitors are welcome to observe children at the school, provided learning is not disrupted. New parents are advised to allow at least six weeks of adjustment time before observing newly enrolled children.
